Who are we?

Bossard respects the privacy of all its website visitors and treats your personal data as confidential. With this privacy statement, we would like to inform you about Bossard’s use of your personal data.
Bossard is convinced that protecting and respecting the privacy of its stakeholders, i.e. employees, customers, debtors, and other clients, is crucial. Personal data is handled with the utmost care.
It is not possible to perform our business activities without processing certain personal data. In the process, we believe that it is important that the processing of personal data takes place in a manner that is consistent with the existing safeguards for the protection of privacy. In this respect, we comply with existing legal regulations for the protection of personal data, namely the European General Data Protection Regulation (EU GDPR). Bossard observes the requirements of this Regulation in all cases.

What is personal data and what is ‘processing’?

'Personal data' is all the data we can relate to you. For instance: your name, your telephone number or your email address - but also your computer’s IP address. It concerns data that can be traced back to you as an individual.

'Processing' is a legal term. It is also a very broad concept. It concerns everything that can be done with data, i.e. the collection, recording, organization, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction of data.

Which personal data does Bossard use?

When you buy something from us for the first time, we always ask for the following details: first name, surname, invoicing address, telephone number, and email address. We record this information in a file. This means you don’t have to type it in again for each new order. And it also means that we can ensure that your order can be processed properly. You can view and change these details in your account information, which can be consulted via our website after logging in. Your password is personal. Please handle it confidentially, and only use it for your own use.

If you visit the Bossard website, data about you will also be recorded using cookies. We ask for your permission for this. For more information, please also see our cookie policy.

How do we obtain your data?

We receive data directly from you; for instance, because you provide information via our website because you want to use our services, or because you have subscribed to our newsletter.

Legitimate grounds for processing and the purposes for which we use your personal data

Personal data is used for the implementation of the purchase agreement or to be able to prepare an appropriate quotation for you. The processing is lawful because it is necessary for the implementation of an agreement or because you have permitted for the processing. The processing may also be necessary to attend to Bossard’s legitimate interests; this is especially relevant for sales and marketing activities.

The personal data mentioned above is also used to improve the content of this website and to customize the contents and layout of our pages to suit individual visitors. This information is only used internally and is not passed on to other organizations for commercial purposes.

Our company may use personal data for new purposes that are not yet provided for in our privacy policy. Should this be the case, we will get in touch with you before using your data for these new purposes, to notify you of the changes to our rules for protecting personal data, and to offer you the opportunity to decline participation.

How does Bossard safeguard your personal data?

Bossard records as little personal data as possible, i.e. only what is necessary. Bossard also takes the necessary technical and organizational measures to protect your personal data against loss and unlawful use. This is also laid down in agreements with so-called processors and sub-processors, such as hosting parties. Examples of security measures include logical access control, management of authorizations, use of firewalls, and agreements with suppliers about information security.

Members of Bossard's staff and any third parties who have access to the data recorded by Bossard are obliged to keep this information confidential. Only authorized personnel may access and edit data. This is also only permitted to the extent necessary for an adequate performance of the work.

Retention periods

Bossard does not store your data longer than is necessary for the purposes for which your data was obtained and processed unless we are obliged by law to keep data for longer. For instance, all businesses are required by law to keep their administration for seven years; this is a duty to retain information under tax laws.

The retention period that Bossard applies may differ depending on the purpose and also on the nature of the data. After the retention period has expired, your personal data will, in principle, be deleted or anonymized in such a way that it can no longer be used and is no longer accessible. After the retention period, we use anonymized data for historical or statistical purposes only.

Your rights: how can you view or change your personal data or lodge a complaint about its use?

You can submit a request to us to access, rectify, or delete the personal data that we process. You can also contact us if you have granted Bossard permission to process your personal data and you wish to revoke this permission.

To do so, send a letter with a copy of a valid proof of identity to bnl_avg@bossard.com. Please be sure to cross out your social security number (BSN),  and to blank out your passport photo on this copy. Bossard will respond to your request or send you an overview of your information as soon as possible but within one month at the latest. Bossard will always let you know how the request is being handled and what the outcome is, and give reasons for this.

You can submit a complaint about how Bossard handles (your) personal data to bnl_avg@bossard.com. Any complaints we receive are recorded and you will be sent a confirmation of receipt. We will send you a response to your complaint within 10 working days.

Disclosing information to third parties

We only share information with third parties if it is necessary. Sometimes we have to share data, for instance, if it is necessary for Bossard’s provision of services, for support services, or if legislation and regulations require it.

We use third parties, such as IT providers, to provide our services. We reach proper agreements with these parties before we disclose the data to them. They are obliged to protect the data and may only process it per our instructions.
